POSITION SUMMARY

At Matthews International, we are currently seeking a talented Talent Acquisition (TA) Administrator to join our team!  In this unique and critical role, the TA Administrator will provide support by executing all administrative functions with a strong attention to detail and excellent customer service to provide a first-class onboarding experience for our newly hired employees.

 

Working alongside managers and the Talent Acquisition Consultants, the Talent Acquisition Administrator will be engaged in the recruitment process from the identified need to hire throughout the entire onboarding process.  Responsible for managing data integrity and compliance, our TA Administrator will be intentional about ensuring a positive and consistent onboarding experience for the new employees. The TA Administrator is the subject matter expert on position and requisition management and processes and recruiting compliance.

 

This role will provide the training foundation and experience that will support in building successful relationships across each division of our diverse company. While working cross-collaboratively with multiple teams, hiring managers, HR Business Partners etc., the TA Admin will be able to successfully provide knowledge and insight to the Talent Acquisition team and exceptional service to our new hires throughout the onboarding process. JOB RESPONSIBILITIES

  • Supports hiring managers, HR staff and candidates by answering questions pertaining to the talent acquisition process, system and data requirements, and new hire onboarding status.  
  • Initiates onboarding process, including employment correspondence, and data entry for Form I-9, background/drug screen administration.  Maintains contact with candidate to ensure timely completion of requirements. 
  • Monitors recruiting compliance including, but not limited to the Form I-9, background/drug screenings and required notices. Makes certain that TA Admin processes are in line with internal policies.  
  • Enters new requisitions and ensures data integrity of requisitions entered by managers. 
  • Handles various clerical duties including, but not limited compiling and submitting new hire paperwork to appropriate departments for processing. 
  • Ensures complete and accurate recordkeeping of applicant flow data by promptly resolving applicant data integrity issues that arise through the recruitment process 
  • Assists in coordination of interview scheduling, hiring event logistics, including managing stock of recruitment marketing materials and shipping items to event site. 
  • Additional duties as assigned.  
     

QUALIFICATIONS / REQUIREMENTS

  • Bachelor’s Degree in Human Resources or related field. 
  • 1 year of previous experience in Human Resources or recruiting administration; or equivalent combination of education and experience. 
  • High degree of proficiency MS Office Suite, Outlook & Internet applications. 
  • Strong prioritizing, interpersonal and planning skills.  
  • Strong verbal and written communication skills. 
  • Ability to develop and maintain collaborative relationships with peers and colleagues across the organization, as well as, internal and external clients. 
  • Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment. 
  • Ability to work with and influence peers and senior management. 
  • Self-motivated with critical attention to detail, deadlines and reporting. 
  • Ability to work overtime as necessary.
